Project Advantage has developed a
consolidated reporting tool to assist with organizational
project reporting. This MS ExcelTM based tool is simple to use, but adds
numerous benefits by providing clear, consistent project status
information. It was developed by one of Project
Advantage’s directors and first deployed into Navman in Christchurch,
but has subsequently been deployed into a number of companies, in both
Christchurch and Wellington.
The tools starts from the idea that
there should be a single source of information: too much confusion is
caused when multiple versions of “the truth” are in circulation. We use
a single data input sheet to collect project information, linked to the
MSProjectTM schedule, to ensure accuracy of
milestone information.
A variety of reports
can be produced, always sourced from the input sheet. These
can be configured in any way that the business needs, for weekly,
monthly, customer, stakeholder and executive
reporting.
The solution deployed at Navman simplified
project reporting and ensured consistency of information being
presented. As part of the implementation, a report template was
produced using Navman terminology: milestone descriptions,
position descriptions, etc. This was then linked to their schedule
template, so that every time a new project was opened, the timescale
information for key milestones would be reported.
Project
managers were given control over their input sheets so that no –one else
could change their information. All other stakeholders were given
access to report sheets, comprising weekly, monthly and milestone
reports. Information on these sheets ranged from core team members
names to top risks/issues, and cost tracking to key milestone
information.
To make the upwards
reporting even more effective, the overall project status traffic light
(red/amber/green) for every project were linked to an executive
summary, allowing rapid assessment of the entire portfolio of
projects.
